Define inactivity and eligibility
Choose a period based on normal message frequency and customer lifecycle. A monthly newsletter and a daily alert cannot use the same inactivity window. Avoid relying only on opens because privacy features and image blocking distort them. Include meaningful clicks, replies, purchases, account activity, and confirmed preference updates where appropriate.
Start from people with documented permission for the same brand and purpose. Exclude complaints, unsubscribes, permanent failures, unresolved imports, closed accounts, legal blocks, and anyone outside the approved retention window.
State the proposition plainly
Tell recipients why they are receiving the message, what stream it concerns, what they can expect, and how to continue or leave. Do not use deceptive urgency or hide the unsubscribe. Implement one-click unsubscribe where current provider requirements apply and keep a clear body link.
Use a small series—often one message is enough—with a documented maximum and end date. A non-responder should leave the active campaign audience according to the plan; repeatedly emailing them until they complain defeats the purpose.
Protect sender operations
Send a bounded cohort first. Keep authentication, From identity, and provider configuration stable so changes can be interpreted. Monitor temporary/permanent failures, complaints, unsubscribes, provider deferrals, clicks, confirmations, and support messages. Pause on thresholds agreed before launch.
Do not move the cohort to a new IP merely to protect the “good” stream. That can hide the underlying recipient-expectation issue and introduces an unestablished source.
Record the decision
For people who explicitly confirm, store the new event with purpose and notice. For unsubscribers, update suppression immediately across systems. For non-responders, record the planned inactive/suppressed status without calling it a complaint. Do not erase original provenance.
Review value and harm
Compare retained engaged recipients with complaints, blocks, and support burden. Break results down by acquisition source and age to find weak signup practices. The campaign is successful only if it improves a permission-led list and respects the planned exit. A large number of sends or even short-term revenue does not justify continued contact with an audience that did not respond.
